Adding Microsoft Entra ID subscriptions to the IT Shop
Once a Microsoft Entra ID subscription is assigned to an IT Shop shelf, it can be requested by customers. To ensure it can be requested, further prerequisites need to be guaranteed.

The Microsoft Entra ID subscription must be labeled with the IT Shop option.

The Microsoft Entra ID subscription must be assigned to a service item.

If the Microsoft Entra ID subscription is only supposed to be available to identities through IT Shop requests, the Microsoft Entra ID subscription must also be labeled with the Only for use in IT Shop option. Direct assignment to hierarchical roles may not be possible.
NOTE: IT Shop administrators can assign Microsoft Entra ID subscriptions to IT Shop shelves in the case of role-based login. Target system administrators are not authorized to add Microsoft Entra ID subscriptions in the IT Shop.
To add a Microsoft Entra ID subscription to the IT Shop

In the Manager, select the Microsoft Entra ID > Subscriptions (non role-based login) category.
- OR -
In the Manager, select the Entitlements > Microsoft Entra ID subscriptions (role-based login) category.

Select a Microsoft Entra ID subscription in the result list.

Select Add to IT Shop.

In the Add assignments pane, assign the Microsoft Entra ID subscription to the IT Shop shelves.
- Save the changes.
To remove a Microsoft Entra ID subscription from individual IT Shop shelves

In the Manager, select the Microsoft Entra ID > Subscriptions (non role-based login) category.
- OR -
In the Manager, select the Entitlements > Microsoft Entra ID subscriptions (role-based login) category.

Select a Microsoft Entra ID subscription in the result list.

Select Add to IT Shop.

In the Remove assignments pane, remove the Microsoft Entra ID subscription from the IT Shop shelves.
- Save the changes.
To remove a Microsoft Entra ID subscription from all IT Shop shelves

In the Manager, select the Microsoft Entra ID > Subscriptions (non role-based login) category.
- OR -
In the Manager, select the Entitlements > Microsoft Entra ID subscriptions (role-based login) category.

Select a Microsoft Entra ID subscription in the result list.

Select the Remove from all shelves (IT Shop) task.
- Confirm the security prompt with Yes.

Click OK.
The Microsoft Entra ID subscription is removed from all shelves by the One Identity Manager Service. All request and assignment requests for this Microsoft Entra ID subscription are canceled in the process.

Adding Microsoft Entra ID subscriptions automatically to the IT Shop
The following steps can be used to automatically add Microsoft Entra ID subscriptions to the IT Shop. Synchronization ensures that the Microsoft Entra ID subscriptions are added to the IT Shop. If necessary, you can manually start synchronization with the Synchronization Editor. New Microsoft Entra ID subscriptions created in One Identity Manager also are added automatically to the IT Shop.
To add Microsoft Entra ID subscriptions automatically to the IT Shop

In the Designer, set the QER | ITShop | AutoPublish | AADSubSku configuration parameter.

In order not to add Microsoft Entra ID subscriptions to the IT Shop automatically, in the Designer, set the QER | ITShop | AutoPublish | AADSubSku | ExcludeList configuration parameter.
This configuration parameter contains a listing of all Microsoft Entra ID subscriptions that should not be allocated to the IT Shop automatically. You can extend this list if required. To do this, enter the name of the subscription in the configuration parameter. Names are listed in a pipe (|) delimited list. Regular expressions are supported.

Compile the database.
The Microsoft Entra ID subscriptions are added automatically to the IT Shop from now on.
The following steps are run to add a Microsoft Entra ID subscription to the IT Shop.

A service item is determined for the Microsoft Entra ID subscription.
The service item is tested for each Microsoft Entra ID subscription and modified if necessary. The name of the service item corresponds to the name of the Microsoft Entra ID subscription.

The service item is assigned to the Microsoft Entra ID subscriptions default service category.
-
An application role for product owners is determined and assigned to the service item.
Product owners can approve requests for these Microsoft Entra ID subscriptions. The default product owner is the Microsoft Entra ID subscription's owner.
NOTE: The application role for the product owner must be added under the Request & Fulfillment | IT Shop | Product owner application role.

If the owner of the Microsoft Entra ID subscription is already a member of an application role for product owners, this application role is assigned to the service item. Therefore, all members of this application role become product owners of the Microsoft Entra ID subscription.

If the owner of the Microsoft Entra ID subscription is not yet a member of an application role for product owners, a new application role is created. The name of the application corresponds to the name of the owner.

If the owner is a user account, the user account's identity is added to the application role.

If it is a group of owners, the identities of all this group's user accounts are added to the application role.

The Microsoft Entra ID subscription is labeled with the IT Shop option and assigned to the Microsoft Entra ID subscriptions IT Shop shelf in the Identity & Access Lifecycle shop.
Then the shop customers use the Web Portal to request the Microsoft Entra ID subscription.
NOTE: If a Microsoft Entra ID subscription is irrevocably deleted from the One Identity Manager database, the associated service item is also deleted.

Assigning Microsoft Entra ID user account directly to Microsoft Entra ID subscriptions
To react quickly to special requests, you can assign subscriptions directly to Microsoft Entra ID user accounts. You cannot directly assign Microsoft Entra ID subscriptions that have the Only use in IT Shop option set.
Special on the assignment form
On the form, assignments of Microsoft Entra ID subscriptions to Microsoft Entra ID user accounts are shown with their origin. This means:

Microsoft Entra ID source group: Microsoft Entra ID group resulting from an assignment. If the column is empty, this assignment of the Microsoft Entra ID subscription to the Microsoft Entra ID user account is created either directly, though IT Shop requests, or through departments, cost centers, locations, and business roles.

Origin: Type of assignment. Assignments through Microsoft Entra ID groups are marked with the Assigned by group value (AADUserHasSubSku.XOrigin=16).
NOTE: You cannot delete assignments that are not derived from a Microsoft Entra ID group.
To assign a Microsoft Entra ID subscription directly to user accounts

In the Manager, select the Microsoft Entra ID > Subscriptions category.

Select a Microsoft Entra ID subscription in the result list.

Select in the Assign user accounts task.

Click Add and select the user account in the Microsoft Entra ID user account drop-down.
- Save the changes.
To remove direct assignments of Microsoft Entra ID subscriptions

In the Manager, select the Microsoft Entra ID > Subscriptions category.

Select a Microsoft Entra ID subscription in the result list.

Select in the Assign user accounts task.

Select the assignment and click Remove.
- Save the changes.
Assigning Microsoft Entra ID subscriptions directly to Microsoft Entra ID user accounts

In the Manager, select the Microsoft Entra ID > User accounts category.

Select the user account in the result list.

Select the Directly assign subscriptions task.

Select the assignment and click Remove.
